The Admin Communications item allows you to manage and track all of your interactions with Members and Merchants. Once you have accessed the rewards platform, this information can be located by selecting the 'Communications' item in the drop down menu.
The Admin Communications page will allow you to:
- Add campaigns
- View campaigns
- View all merchant offers
- View notifications
- View Member invites
- Use email templates
Add Campaigns
Don't waste your precious time and money on yet another marketing campaign. Instead, use our Campaign Offer to quickly create an Offer and make it available to thousands of program Merchants!
The Campaign function is an offer management system that allows you to create an Offer with pre-determined details (e.g. reward amount) and push it to targeted Merchants within your program to opt into. To begin, simply select 'Create new campaign'.
Initially, you will need to enter the name of the Campaign.
After naming the Campaign, you will need to complete three more steps.
The next step is to configure the Offer. You are able to include an Offer title specific to your Merchants.
Set the running dates for your Offer, either using of the calendar function or by typing the date into the field directly using D MMM YYYY format (i.e. 1 Dec 2020)
You will have to decide upon the Merchant's Offer fees, which can be a percentage or fixed dollar amount.
You can also include an Offer image to grab the Members' attention when they see the Campaign on the Member platform.
Be sure to include a brief description of your Offer's details in the Offer text field.
There are currently two reward types you can use. Either a percentage reward or fixed dollar reward. The first allows you to set a percentage of each purchase that will be rewarded to the Member. The other allows you to encourage Members to make larger purchases by setting a minimum spend (e.g. $15 reward for any spend over $100)
You can also set limits on the spend amounts, valid reward times and valid reward days. Tick the appropriate boxes to configure the rewards to how you would like them.
First, set the time and days you would like the Offer to apply by completing the appropriate fields.
You may wish to also encourage repeat customers by stipulating that Members have to make 2 purchases with a Merchant in order for them to receive a reward. If the 'First' box is ticked, Members will only be rewarded for their first purchase from a Merchant, meaning their first ever purchase, NOT their first purchase during this specific Offer. If the 'Second' box is ticked, Member will only be rewarded for their second purchase from a Merchant, meaning their second ever, NOT second during this specific Offer.
The Offer budget allows you to determine the maximum value that Merchants will spend on this specific offer. For example, if the budget is set at $5,000, and if 100 different Members each make a purchase where their total reward value plus program fees has reached the limit of $5,000, then the Offer will automatically switch off at the end of that business day.
Once you are happy with your offer configuration select ‘Save offer details’.
The next phase is to choose which Merchants you would like to be a part of your Campaign. You can either scroll through the listed Merchants and select each one.
Or, if you have a specific group of Merchants in mind, you can simplify the process by using the search bar to look for them by name.
The final step is to review the offer you have created. If you have completed all of the required fields and are happy, select 'Invite merchants' at the top of the page. Your nominated Merchants will then be notified of your invitation and will have the option to accept and participate in the Campaign.
Note: Merchants will not be able to join your Campaign until you have completed this step. If you do not 'Invite merchants', your Campaign will be saved and given a status of 'Editing', meaning you can complete the Campaign setup later.
View campaigns
The initial Campaigns landing page allows you to see all the Campaigns you have created for Members and Merchants at a glance. You can search for a Campaign using the search bar if you know the name of the Campaign you want to view.
You can also use filters to limit your search results. Just click 'Filters' and tick the boxes you wish to include.

The Campaign overview and search results feature the Campaign name, dates, the number of Merchants invited and their relevant responses, and the status of each campaign (as explained in the table above).
For a more information on a specific Campaign, click the three dots.
Delete a Campaign
For a Campaign which has a status of 'Editing', you are able to either 'Delete' the campaign or continue editing it, in which case you will be redirected to complete the unfinished information when you first created the Campaign.
End a Campaign
For an active Campaign, you are able to end the Campaign straight away by clicking 'End now', change the end date by clicking 'End at date', you can remove specific Merchants from a Campaign by clicking 'Remove merchant', or view the details of a Campaign by clicking 'View'.
If you select 'End at date', you will be prompted to choose a date on which to end the Campaign. You can either type in the date using a D MMM YYYY format, or select a date from the drop down calendar.
Remove a Merchant from a Campaign
If a Merchant has asked you to remove them from a specific Campaign, you can do this by clicking 'Remove merchants' in the three dots drop down menu. You will be able to select the Merchants you wish to remove using tick boxes.
Once you have selected the Merchant you wish to remove, select 'Yes, remove merchant'. You can also tick the 'Notify affected merchants', which, when ticked, will send a message to removed Merchants confirming that they have been removed from this Campaign.
View a Campaign
For a finished Campaign, you can 'View' the details of the Campaign.
After clicking 'View' on an active or finished Campaign, you will see details about the Campaign, including the title, image, reward, valid reward days and more. You will also be able to see the responses of invited Merchants and whether they have accepted, rejected or not replied to the Offer.
View all merchant offers

The All merchant offers landing page will provide you with an overview of all the Merchant Offers currently active within your program with a description of the Merchant running the Offer, the Offer title, dates and state. Please note that this page only displays information related to Offers that were created by Merchants. To view Campaigns select 'Campaigns' from the 'Communications' menu item.
There are various states that an offer can be classified as. Below is a brief description of each of these states:
The Merchant is still completing the details of the Offer and has not submitted the Offer for your approval. | |
The Merchant has submitted the Offer to you, but you are yet to approve or reject the Offer. | |
The Offer was submitted by the Merchant, and you have approved the Offer. It will become active on the start date. | |
The Offer has been approved and is currently underway. | |
The Offer was approved, was active and has finished successfully. | |
The Offer has been removed by the Program Operator. | |
The Merchant has submitted the Offer to you, but you decided not to approve the Offer, so it won't take place. | |
The Offer was approved and active but was stopped earlier than the original end date either by reaching the budget amount, or because it was ended by the Program Operator. |
On this page, you can search for a specific Merchant Offer using the search bar. Just type the Merchant name, ID or the title of the Offer you are looking for to find the Offer.
You can also click 'Filters' to set filters for your search based on the state of the Offer you are looking for (i.e. active, finished etc.). Just tick the appropriate boxes.
You can then sort your search results based on Offer dates, rewards and fees by clicking 'Sort by' and ticking the appropriate boxes.
For more information on a particular Offer, simply click the title of the Offer you wish to view. You will be redirected to a page which shows more details about the Offer, including reward and budget information.
Approve offers
To ensure the integrity of your program, each Offer created by a Merchant will need to be reviewed and approved prior to being viewable to Members. This allows you to confirm the reward amount and that the associated details are correct.
You can find Offers to approve or reject by finding an Offer with the state of 'Approval requested' in the 'State' column.
To respond to an Offer, first, click on the title to view it, and then, select 'Reject' or 'Approve'.
If you choose to reject an offer you will be required to provide a comment with an explanation as to why.
End offers
If a Merchant has requested that their current Offer be ended early, this can be done by viewing the active Offer by clicking the title, then selecting 'End offer'.
The Offer will then appear with the 'State' of 'Ended'. Note: An Offer will also be 'Ended' if the reward cost and fees reach the Merchant's budget.
View notifications
The Notifications function can be used to communicate with both Members and Merchants.
You can view existing notifications and their associated details such as the title, audience and creation date.
Or you can search for a particular notification by name and status (i.e. active).
You are also able to notify all active users of new program functions, specialty offers and general program updates by selecting ‘Add notification' then completing the details form.
The audience can be determined as Members, Merchants or both. While the priority can be set as Premium, Normal and Low.
Once you have completed the form, select 'Save' at the top of the screen.
View Member invites
Members have the capability to invite friends to join the rewards program. An email invite will be automatically sent via email and recorded in the 'Member invites' list, with the 'To Address', the Inviter email and date sent.
On this page, you can see a list of email addresses that have been invited to join the program, as well as the email address of the Member who sent the invitation and the date it was sent.
Use email templates
The Email Templates function can be used to personalise messaging to Members and Merchants. Select an email template, such as the ‘Members Sign Up’ email and edit it to include any program specific information; you can even add your own branding to it for extra pizzazz!
