The Admin Members list allows you to manage all of your program users conveniently from one place. Once you have accessed the rewards platform, this information can be located by selecting the 'Members' item in the menu.


The Admin Members page will allow you to:


Add a Member


To add a new member into the program, simply select ‘Add member' at the top of the page.

You will then be redirected to complete the details form. Complete each field within the form, providing the new Member's membership details, name, card details and email address. A password will also be required.


Then, when the form is complete select ‘Register Member’, and a verification email will be sent to them with further verification instructions.


Search for a Member


If you require the details of a particular Member, you can quickly find them using the search bar. Just enter their Member number, name or username (which, in most cases, is the Member's email address).

Click 'Filters' under the search bar to be able to use tick boxes to limit your search to specific Members based on their 'account status. 

Here is a brief description of each 'account status':

Members who have been signed up by the Program Operator, but have not yet been verified
Members who have signed up and been verified by following email verification instructions
Members who had active accounts, but they are unable to use those accounts at the moment
Members who are no longer signed up to the program

Please note that the default filter is to only search for 'Verified' Members.

You can use additional filters to search for Members whose cards have expired or are close to expiring.


If you would like to sort your search, you are able to click 'Sort by' to organise your search results by the Member's first name, last name, the date they joined or their registered card account.

Your search results will appear below the search bar along with each Member's basic information.



If you are happy with the results and would like a copy for your own records, you can export them into a spreadsheet simply by selecting ‘Export’, located next to the search bar.


Edit a Member


Looking to edit the details for a specific Member? Simply enter their Member number, name or email address into the search bar, select the appropriate filters and select ‘Search’. Then, use the three dots next to the relevant Member to navigate your way to the ‘Edit’ page. 

Select through the Member, account and cards tabs until you find the details you wish to edit.


Member

You can then complete the fields with the Member's new details, such as their new mobile number or postcode and select ‘Update’. 


This information will be saved and changed as necessary throughout the program.


On this page, you can also view information about the Member's activity on the Member portal, such as logins and password changes.

Account

By clicking 'Account', you can see and edit information about the Member, such as their membership number and verification status.

If you wish to delete a Member's account, you can do so on this page by clicking 'Delete account'.


Changing a Member's status from 'Signed up' to 'Verified'

If a Member has a status of 'Signed up', it means you have their information, but they have not been verified. Typically, after being signed up an email will be sent to the new Member with a verification link. When they click this link, they will become verified. You can also verify a Member with the 'Edit' function. Click 'Account' on the Member edit page.

Under 'Account Status', click 'Verify Member'. The Member's status will now be updated from 'Signed up' to 'Verified'.


Cards

By clicking 'Cards' on the menu at the top of the 'Edit Member' page, you can view a Member's active cards as well as cards that are no longer active.

You can also add a new card on behalf of a Member. Simply click 'Add a credit card', enter the relevant information, and click 'Save card' when you are finished.

To remove a card on behalf of a Member, click the three dots next to the card you wish to delete, and select 'Delete card'. (Note: Members can also delete a card using the Member platform) 


To edit a card's expiry on behalf of a Member, click the three dots next to the card you wish to edit, and select 'Edit expiry'.

In the pop-up screen, type in the new expiry date and click 'Update card'. (Note: Members can also add or delete a card using the Member platform) 


View a Member's activity


You can also use this page to redirect to the Member's 'Activity’. Just click the three dots next to the name of the Member whose activity you wish to view, and select 'Activity'.

The Member Activity provides an overview list of transactions made by a particular member. You will be able to see their lifetime earnings (i.e. their total rewards since signing up).

You will also be able to see information regarding a Member's pending earnings, their available balance and the amount they have withdrawn.

  • Lifetime Earnings - The total amount of rewards earnt throughout participation in the program (i.e. the total of the Pending Earnings, Available Balance and Withdrawn Amount).
  • Pending Earnings - A purchase has been made, but the Member's reward has not yet been added to the Member balance.
  • Available Balance - The Member's rewards have been confirmed and payment can be made upon request (i.e. through a payment request file or a Member driven withdrawal).
  • Withdrawn - The total amount of rewards that have been paid out of the Member balance (i.e. cashback paid to the Members account and/or an alternate bank account).



For a greater understanding of the Members transaction history, you can view each transaction by line item, and the transaction date, description (i.e. the Merchant location), payment method (i.e. Visa card and last 4 digits), reward % and associated purchase amount, reward amount and status will be given to you. 




The arrows are an indication of whether the transaction was incoming (i.e. a Member reward) or outgoing (i.e. cashback to the Members card). Here is a description of the statuses that can be displayed in the 'Status' column:

Incoming Rewards

The Members reward has been added to their account and can be withdrawn by the Member when required.
The Member's rewards have successfully been added to their account; however, the rewards cannot yet be withdrawn as the Merchant is still required to fund the Reward.

Withdrawals

The Member has requested reward withdrawal from their Member account, but this withdrawal has not yet been processed.
The Member's withdrawal has been successfully paid (Note: it can take up to 3 business days to appear in the Member's account).


View a Member's charts


You can also use this page to redirect to the Members ‘Charts’.


The Member Charts uses the data provided by the transaction activity and translates it into charts for an easy comparison between months. 

Use the hover tool for a more specific description of each column.

Member Audit


By clicking on the three dots next to a Member and then clicking 'Audit', you can audit a Members activity. 


You will be able to see information such as when a Member added a new card. (Note: For security reasons, the complete card number will not be visible.)



You can filter this page for activity within a specific date range by entering the dates in D MMM YYYY form (e.g. 5 NOV 2021) or by selecting a date range with the calendar.

You can download a spreadsheet of your audit. Just click 'Export', located next to the date range at the top of the page.


How do I change the status of a ‘Verified’ member to ‘Signed Up’?

A member is unable to access their verification email, can this email be resent?
